Document control sounds like an administrative task until the wrong revision reaches site. Then it becomes a variation order, a delay claim and an uncomfortable meeting.
One structure, used everywhere
Agree on a folder structure and apply it to every project. Stage based numbering works well for construction and engineering: 01 Business Plan, 02 Inception, 03 Design, 04 Tender, 05 Construction, 06 Close-Out. New staff learn it once and can find anything on any project.
Name files so the name does the work
Project code, discipline, document type, number and revision. A file named clearly needs no explanation in the covering email, and it sorts correctly in any list.
Only one current revision
Superseded documents should be retrievable, never in the way. Version history solves this properly: the current file sits where people look, and earlier revisions stay attached underneath it.
Approvals must be recorded
Verbal approval is not document control. Who approved the drawing, on what date and at which revision, needs to be part of the record. When a client asks, the answer takes seconds.
Control who can do what
Most people need to view and download. Fewer need to upload. Fewer still should approve or delete. Setting permissions by role prevents accidental damage and makes the audit trail meaningful.
How DataSto handles this
DataSto creates stage folders with the project, keeps version history and revision numbers, records approvals and comments, supports document locking with check-in and check-out, and logs every upload, download and change against the user who made it.
